CV19 Risk Assessment and 
Business Continuity Plan

As part of our risk assessment and business continuity plans (RABCP) WBC have clear and up-to-date RABCP escalation plans in place. This will ensure timely communication to our staff, tenants and virtual office clients, in case we need to invoke a RABCP plan. The WBC team have re-appraised themselves of the RABCP procedures and understand their responsibilities. In the event of a RABCP plan being activated, the landlords will work with staff, tenants and clients to ensure continuity of service.

In response to the Coronavirus pandemic, please see below details of our policy for business operations and managing this risk.


CURRENT SITUATION

- WBC building is open to all key holder tenants 24/7. Tenants use their office spaces at their own discretion and must adopt their own processes and procedures. 


- Reception is closed but accessible to virtual clients by prior appointment, for the collection of post and parcels.  A one person at a time limit into reception has been adopted.


- The kitchen area should be used by one person at a time. The area should be fully cleaned down by the user before they leave the kitchen. Cleaning materials are provided on the side.


- Anti-bacterial hand soap is available in the washrooms and kitchen area.  Hand sanitiser is available at reception for visitors.


- Access control doors can be managed by customers phones, cards or codes. Door handles are wiped down regularly.


- Paper towels are restocked and bins are emptied regularly. Spares are available from the kitchen area.


- Face masks must be worn when entering the communal areas of the building. This includes the entrance lobby, reception, hallways, kitchen and toilet areas.

 


Enhanced public health measures we are observing and recommending in response to COVID-19

• A rolling programme of communication to all tenants, staff and partners through email to observe the enhanced public health measures at all times:

i.  Regularly wash hands with soap and warm water for a count of 20 seconds 

ii. Carry a tissue at all times. Catch coughs and sneezes in a tissue and throw the tissue in the bin (Catch It. Bin It. Kill It) - Communal bins are emptied regularly.

iii. Avoid touching your face

iv. Maintain the minimum recommended safe distance apart.

v.  Wear a face mask


• All tenants, WBC staff and other visitors are recommended to carry and use personal towels, anti-bacterial gel and anti-bacterial wipes. Please wear face masks in communal areas.


• All hot-desk co-workers are recommended to use anti-bacterial wipes on keyboard, mouse, desk and chair arms before they start work.



•Before meeting with anyone during the normal course of business, enquire as to the individual's Coronavirus status (e.g. Someone in their household self-isolating). If they are a Coronavirus risk do not meet with them in person.


WHAT WILL HAPPEN IF LOCKDOWN MEASURES ARE INCREASED AGAIN?


BUSINESS CONTINUITY MEASURES RELATING TO WBC HAVING TO CLOSE RECEPTION

• All of our staff, tenants and co-workers will be notified of the closure but will still be able to access the building and use the building at their discretion.

• Virtual office clients can collect mail by prior appointment only.

• A notice will be put up on the main front door advising of the closure.

• Outer entrance door will be locked by each tenant entering/leaving the building (outer entrance door keys will be issued to co-working clients)

• Visitors will only be given access by the resident tenant they are visiting.

• Main switchboard number will be diverted to a mobile number and will be managed by a WBC staff member

• Tenants DDI numbers can be re-directed to a tenants mobile number (which should be provided). 

• Reception area will be permanently locked, with the access control system activated.


Parcel deliveries should only be accepted by the resident tenant. Delivery drivers will need to phone the tenant to arrange collection from the outer entrance door.



ADVICE FOR PEOPLE RESPONDING TO A SUSPECTED OR CONFIRMED CASE OF CORONAVIRUS


IF WE HAVE A SUSPECTED CASE OF CORONAVIRUS AT WBC 

1. Reception and/or WBC partners should be notified and kept in continual communication

2. The individual should self-isolate immediately and follow medical advice. It is recommended that people working in the same office space also self-isolate.

3. WBC will communicate to other tenants, co-workers and virtual office clients.

4. Current guidance from the government is that the office should remain open and business will continue as usual.

5. Public health measures will be further emphasised:

    i. Keeping clean hands

    ii. Catch It. Bin It. Kill It

    iii. Using anti-bac wipes at workstations

    v. Using anti-bac hand gel

    vi. Wear a face mask when in communal areas

6. WBC partners will provide any updates received from the individual, their employer and/or family.


IN THE EVENT OF A CONFIRMED CASE OF CORONAVIRUS AT WBC

1. All previous measures to continue.

2. Current guidance from the government is that the office will need to be deep cleaned and sanitised. This may require the office building to close temporarily

3. Once the cleaning work is complete the office building should re-open and operate as normal
